Zapier + HubSpot

Zapier connecting your tools to HubSpot, without the task bill.

Zapier is the quickest way to connect HubSpot to the apps it has no native sync for. It's also easy to end up paying for thousands of tasks that do nothing. I build Zaps that run only when they need to, and rebuild the ones that have grown out of control.

What you get

What I do

01

Connect the gaps

Link HubSpot to apps without a native integration, matching on a unique ID instead of a name or location.

02

Filters first

Zaps stop before they spend a task on an edit that doesn't matter.

03

Clean up

Merge duplicate Zaps, remove dead ones that are still switched on, and backfill missing IDs so old records match new ones.

04

Honest advice

I'll tell you when a native integration, Shopify Flow or a HubSpot workflow would do the job better than Zapier.

How I build Zaps

Every Zap should answer "should this run?" before it does anything expensive.

The cheapest check goes first, so routine edits never reach a lookup step.
One Zap per job, not two Zaps doing the same update.
Unique IDs for matching, so a shared field never updates the wrong record.
A written list of every Zap and what it does, handed over at the end.

Client build

Phoenix Industrial Cleaning: Zapier back under plan

2,000task plan the client was about to exceed
1,500–1,900tasks a month projected after the rebuild
0tasks for routine job edits

Zapier use was heading to 4,000 to 5,000 tasks a month on a 2,000-task plan. I removed the dead Zaps, merged the two job Zaps and moved the filters first. Also connected with Zapier: Federal Contracting Alliance's HubSpot portal, for task automation and data sync between platforms.
